Initial situation

Swisscom is a big corporation in Switzerland. They have over 19'000 employees. Every one of them can have access to a daily car that fits their needs. This has to be booked on an intern platform. Depending on the car and the duration this process has multiple verification steps: employee, boss of employee, head of the chapter, automobile manager and the provider.

Problem

The issue is that there are multiple types of cars, from small 2x4 cars to 4x4 trucks with special equipment. For each of those types (about 12), there is a different process. Not only that but the process also changes depending on the duration of the lease. If the user wants a car for more than 3 months, the system should first look if the configured car or an alternative is free (free as in it's leased but isn't needed anymore) or if it needs a new lease. All those different yet similar processes needed to be visually trackable, editable and filterable for all the stakeholders involved.

Solution

First of all, a flowchart had to be made to visually understand what flows are needed and also to make sure we and the customers are on the same page. Then: Lots of wireframe iterations. It was important to make the different verification steps similar and simple. We opted for a stepper when choosing a car as well as a stepper afterwards; to show at which verififcation-step the process is. The boss of the employee has a card-overview of every car his or her employees are driving and can edit or cancel them. They also see if an employee has requested a car, can go into a detail-view and accept, deny or correct the query. The same goes for the head of the chapter and the automobile manager but they have a table overview since there are lots of cases to show.
